Rota Details - Staff Allocation

This screen allows you to view staff who are working by section, and provides a simple way to move staff between sections. Here in the basic view, you are shown a Whole Site requirement graph for each day, and all currently unallocated staff.

The Whole Site graphs show any instances where a requirement is overstaffed or understaffed, it is a combined overview of all sections, so it should not be surprising to see that in some places the are shortfalls and surpluses in the same time period.

Unallocated staff have been sheduled to work, but are currently not allocated to a department. This could be because there are no requirements which match their skills.

You can directly manipulate the timeline for each person (for example, changing the working hours to fit a specific requirement). Follow this link for detailed instructions on this.

Interacting with the Staff Allocation screen is done via the right mouse button, with feed back provided on tool tips.

The main menu for this form is accessed by right clicking on a person's name.

Here you can maintain the comments for that day (these are the same comments as in the Staff Rota). Also:

  • Release <person name>  : This is equivalent to changing the section to null. Any time items which begin on the selected day will either become unallocated, or will be automatically allocated to another requirement that they have the correct skill set for.
  • Send <person name> home : This changes the status for the selected day to Not Working.
  • Make <person name> work this section all day : If there are multiple time line items which begin on the selected day, they will all be allocated to the selected section.
  • Change Section : Change the section of all items which begin on that day to another section.

Another menu is available by right clicking in the section area (indicated blue in the screenshot below).

Hovering the mouse over one of these sections will display a tooltip which shows the requirements breakdown for that section.

This shows how great a shortfall or surplus exists, and the time period in which it exists. Right clicking the mouse in these sections will display the following menu.

Here you see a list of all staff with the correct skill set for the department and the times they are working. You can also see a tick next to any staff who are currently allocated to the section. Staff in this list who are currently allocated to other sections have that section's name in brackets. 

The Other Staff menu shows all staff who are working that day, even though they don't have the required skills for the section.

Here again, you are shown the times they are working, and the section they are currently allocated to.

The Bring In menu shows a list of staff who are not scheduled to work that day, but who do have the required skills.

Their status will be displayed in brackets, so it is easy to distinguish between people who are not working and those on holiday. When you select the person you are interested in from the list, you will be shown a list of day templates. If you click on a template, it will be applied to the person.

If the person was originally due to work that day, they will just be shown as below (without a template list):

If you click on these people, the system will bring them in using their default working pattern for that day.
